Annual reviews
Annual reviews, simplified.
The annual fiduciary review is one of the most valuable things a retirement practice produces, and one of the most painful to assemble. PlaniFi sends out the questionnaires, prompts you for anything you need to enter, and populates everything into a presentation-ready deck.
The cycle
How the cycle works.
- 01
Scheduling
PlaniFi tracks which plans need an annual review and when each one is due, so nothing falls through the cracks. Once you schedule it, that year’s review is created — and every following year’s appears on its own, so no one has to remember to set it up again.
- 02
One cycle, every applicable party
Load in your contacts and select who receives the questionnaire — client, recordkeeper, TPA, or any combination. Each recipient gets their own private link.
- 03
Built for how it actually gets filled in
One link per party. If multiple people need to help answer the questions, they can — everyone works off the same link, and it autosaves as they type. Whoever’s responsible hits submit when it’s done.
- 04
Last year is already filled in
A new questionnaire opens pre-populated with that party’s answers from the previous year, flagged as carried over. Most fields have not changed; the ones that have are the point of the exercise. Documents are never carried forward — those must be current-year.
- 05
Reminders with the meeting date in mind
PlaniFi automatically reminds any party with an outstanding questionnaire, on a set schedule. Once a review meeting is on the calendar, reminders shift to seven days out — so nothing arrives after the deadline.
- 06
Documents arrive in the same place
Fidelity bond, fiduciary liability cover, plan documents, fee disclosures, enrollment guides and the loan policy are collected through the same forms and attached to the review.
- 07
From answers to a finished deck
Plan design, assets, and every party’s responses flow straight into a PowerPoint built on your firm’s template. The result is a deck that’s ready to present, not a rough draft you still have to finish.
- 08
Follow-up tracked to done
Minutes out for signature, executed minutes filed, the follow-up items you promised in the meeting. The review stays open on your list until all of it is actually finished.
The record
A file that answers “show me your process.”
When the cycle closes you are left with dated responses from all three parties, the documents they supplied, the deck the committee saw, and a follow-up trail through to signed minutes. That is the artifact that matters when somebody asks how a decision was reached.
Walk through a full cycle.
We will run one end to end on a demo plan — questionnaires out, responses in, deck generated.
